Contract Compliance Manager

This position is for one of the companies under the Eaglestone Umbrella which is The Pace Companies.

In this role you will be responsible for Lien Waiver Management: Ensure accurate processing of lien waivers, sworn statements and subtier waivers as a function of Accounts Receivable.

-Payroll Reporting: Handle certified payroll, obtain accurate sign-in sheets, submit monthly utilization reports.

-Diversity and Inclusion Reporting: Oversee MWBE reporting to support and comply with diversity initiatives.

-Payment Reporting: Manage payment reporting through various forms and websites, including the NYS B2G system, ensuring timely and accurate reporting at all times.

-Insurance Management: Oversee OCIP/CCIP enrollments to ensure comprehensive coverage and compliance. Complete OCIP/CCIP payroll reporting with limitations on monthly basis throughout project lifecycle. Complete Workers Compensation/OCIP/CCIP audits as necessary.

-Prequalification Management: Provide and request prequalification data to and from clients and subcontractors.

-Subcontractor Management: Oversee all aspects of subcontractor compliance, including insurance, reporting and contractual compliance, including certified payroll, utilization reporting, payment reporting etc.

-Closeout: Serve as single point of contact for compliance matters on miscellaneous compliance matters, including closeout packages, closeout letters, letters of completion, warranty notices, etc.

Title: Project Coordinator

Location: New York City

Reporting Manager: VP of Finance

Position Scope:

This position works closely with the Business Unit operations and finance team to ensure that the projects are set up and supported correctly and financials are entered timely and accurately. This position aligns closely with a multitude of Project Managers. This role is intended to have limited to no time on the Project site.

What will you be doing?

A key member of the Business Unit project and team, the Project Coordinator tasks & responsibilities will include:

  • Project Administration
  • Regular tracking of Changes Orders and entering approved Change Orders (additive to Contract Value) and associated budget revisions (Cost of Complete) in Vista.
  • Monitor and work with the Project Manager to gain approval for outstanding/unapproved Chage Orders
  • Track project cashflow to and review over/under billing at the project level and work with Project Managers to optimize our position
  • Attend monthly WIP Meetings and utilize live data in Vista to ask questions and gain clarity. Make sure monthly cost to complete data is secured from the Project Managers and inputted into Vista
  • Receive and assure fully executed customer contracts prior to job setup in Vista
  • Certified payroll and OCIP reporting
  • Billing & Collections
  • Work with customer to manage open receivables
  • Subcontract & Vendor Management
  • Manage the administration and issuance of subcontracts
  • Match AR receipt to subcontractor invoices

What will you bring to the job?

  • Analytical to use financial information to seek opportunities to drive enhancements to the business.
  • Working knowledge of basic accounting functions (AP, Percentage of Completion method) and ability to coordinate with multiple internal departments.

What is the scope of this job?

Managerial responsibility of the business unit P&L from budget to forecasting covering the New York City region. 

A keen eye for driving growth through creating and championing the sales strategy. 

Responsible for building and optimizing the service and sales team to improve sales productivity and drive growth. 

A change manager that will ensure a smooth transition from being independently owned to part of a larger and more structured organization. 

Create a high-performance culture in concert with the CEO to provide exceptional rewards for success and holding leaders accountable.  

A strong focus on operations and process, standard operating procedures and overall management to optimize outcomes.  Develop a winning strategy to grow the reoccurring service side of the business. 

Overall responsibility for establishing strong operations, driving revenue and producing growth.

What will you do:

A key member of the Eaglestone Senior Leadership team, the Vice President/General Manager’s responsibilities will include:

  • Full P & L responsibility for the business unit to include Sales, Operations and support functions.
  • Responsible for strong cash management to enhance liquidity position of the business unit.
  • Create the business unit strategy and implement plans to assure growth and profitability.
  • Hire, train and motivate a team that will cohesively build business.
  • Champion the sales team, develop strategic avenues of growth and manage daily operational responsibilities.
  • Co-develop annual business unit budget and be accountable to manage within the budget
  • Be accountable for the Work in Process (WIP) outcomes with hands-on project management working both with the project and operations managers.
  • Develop relationships with vendors to assure sales goals are met and enough support is being provided to drive our growth.
  • Attend industry events and “be the face” of the organization within region.
